Does my offline entry have to be submitted in Microsoft Word?

You can submit your nomination as Microsoft Word documents or in PDF format using the official offline Nomination Form. However, all images must be supplied in high resolution (min 300dpi) in one of the following formats: .TIFF / .JPEG / .PDF / .PSD / .EPS. Please note that your nomination may include no more than 2 additional pages (A4) as supporting evidence but please be advised, these additional documents will only be taken into consideration by the Judges if your nominee is shortlisted – we would therefore encourage you to put your stronger arguments in favour of your nominee in the nomination form.

What is your confidentiality policy for award nominations?

All material will remain confidential to the Judges. Details of the Winners and Highly Commended will be published on the website after the event.

When does the judging take place?

Judging will commence following the nomination closure on Friday 31 January 2025.

When will I be notified if I am shortlisted?

Should you be successfully shortlisted, you will be notified no later than Friday 4 April 2025.

Where will the Women in Rail Awards be held?

The Women in Rail Awards will take place at the Roundhouse in Camden, London. The closest underground station is Chalk Farm Underground station (150m walk); the venue is also accessible via Camden Town Underground and Kentish Town West Overground stations (both 850m walk). The closest car park is Q-Park St John’s Wood (NW8 6AA) a 20-minute walk from the venue. There is limited parking for Blue Badge holders (for customers with a disability). Spaces are offered on a first come first served basis and can be reserved by emailing access@roundhouse.org.uk.

What is the dress code for the awards?

The dress code for the Women in Rail Awards is Black Tie and Formal Wear.

I have been shortlisted for an award, do I need a ticket?

Yes, we are afraid you do. All attendees must pre-book and purchase their tickets in advance, so the exact number of attendees is known to us at all times.

I have been shortlisted for an award, is there a badge I can use to promote?

The link to Shortlist Badges will be updated once nominees have been announced.

Q:

How many people does a table accommodate? Do I have to purchase a full table?

We can accommodate tables of 10 and a limited number of tables of 12. It is not necessary to purchase a full table; individual seat bookings are also accepted.

Q:

How can I pay for my ticket(s), table(s) or sponsorship?

Payments can be made by cheque or bank transfer.

Within 24 hours of your booking being made, you will receive an email from us acknowledging your booking. This will include a link to confirm your booking. If you do not receive any such acknowledgment and confirmation, please call us immediately on +44 (0) 1780 432 930.

Fourteen (14) days after your Order Confirmation is delivered the Event Organiser will raise an invoice for the agreed amount. Your invoice will include details for the methods of payment available.

Who do I notify if one of my guests has special dietary requirements or a disability?

Prior to the event, all table/booking organisers will receive joining instructions where they will be requested, amongst others, to specify any dietary or special requirements. Please complete and return the form to us as instructed. Please note that all joining instructions will have to be returned to (and received by) us five weeks prior to the event (Thursday 10 April 2025). Should you be unable to attend the event, substitute guests are always welcome at no extra charge.

What is your cancellation policy?

Any cancellations must be received by us in writing, if by post, at the following postal address: Women in Rail Awards 2025, c/o Nimble Media Ltd, Unit 6, Old Station Yard, Ashwell LE15 7SP or, if by email, WRAwards@nimblemedia.co.uk. If your cancellation is received within the first 14 days following the date (inclusive) of the invoice being raised, you will be entitled to a full refund (less a 15% administration charge). If your cancellation is received on a date falling 14 days after the date (inclusive) of the order confirmation being delivered to you, you will be entitled to a 50% refund. Regardless of the above, we regret that no refunds can be made or invoices cancelled after Thursday 20th February 2025, and the full rate will be payable as associated costs against your order will have been incurred at this stage by the Event Organiser and the deadline to resell your allocation will have passed. Should you be unable to attend the event, substitute guests are always welcome at no extra charge. In the event that the Women in Rail Awards 2025 is cancelled, you will receive a full refund of any monies paid. However, no refund will be given, and no liability will be accepted for any travelling, accommodation or other expenses you incur as a result of such cancellation. These Terms and Conditions (and any non-contractual obligations arising from them) shall be governed by the laws of England and the English Courts shall have exclusive jurisdiction over any dispute in relation thereof. It may be necessary for reasons beyond the control of the Event Organiser to alter the content, timings or venue. The Event Organiser shall not be liable for the cancellation of the event if the same is caused by an event or events beyond its reasonable control, including but not limited to acts of God, war, terrorist attacks or threats, strikes or labour disputes, epidemics or pandemics, embargoes, government orders or any other event traditionally qualified at law as an event of “force majeure”. In the event of cancellation due to the above circumstances, no refund will be given. In the event of rescheduling due to the above circumstances, your booking will be valid for the rearranged date, and no refund will be given. The Event Organiser does not accept liability for any transport disruption or individual transport delays and in such circumstances, the normal cancellation restrictions apply. If you elect to make your booking via telephone, you will automatically be accepting to be bound by these Terms and Conditions.

If we win, are we able to receive more than one trophy?

Unfortunately not, but you will be able to purchase additional trophies after the event. All you will need to do is email us at WRAwards@nimblemedia.co.uk for more details.
