Overview:
We are seeking a highly organised and detail-oriented Project Administrator / Document Controller to support project delivery through effective administrative coordination and document management. The role will be responsible for maintaining project documentation, supporting project teams with reporting and financial processes, and ensuring compliance with document control standards.
Key Responsibilities:
Project Administration:
- Provide administrative support to project managers and wider project teams.
- Coordinate meetings, prepare agendas, and record meeting minutes and action logs.
- Assist with preparation of project reports, presentations, and documentation.
- Maintain project schedules and support planning activities.
Document Control:
- Manage the full lifecycle of project documentation including creation, review, approval, distribution, and archiving.
- Maintain structured document management systems ensuring version control and compliance with company standards.
- Ensure documents are stored correctly and accessible to relevant stakeholders.
- Track document revisions and maintain document registers.
- Support audits by ensuring documentation is accurate and up to date.
Financial & System Support:
- Support project financial administration including purchase orders, invoices, and cost tracking.
- Process and monitor project expenses where required.
- Assist with travel and expense management processes.
Systems & Tools:
- Maintain documentation and project information within company systems.
- Support use of project and finance systems such as:
- SAP / GSI
- Inspire
- Concur
Key Skills & Experience:
Essential:
- Proven experience in a Project Administrator or Document Controller role.
- Strong organisational and administrative skills with excellent attention to detail.
- Experience managing documentation within structured document control systems.
- Ability to manage multiple tasks and deadlines in a fast-paced project environment.
- Strong communication and stakeholder coordination skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Desirable:
- Experience using SAP / GSI systems.
- Experience with Inspire document management systems.
- Experience using Concur for expense management.
- Experience supporting large programmes or infrastructure projects.
